FREQUENTLY ASKED QUESTIONS

Answers to the most common questions about weddings, events, dates, pricing, catering, music, weather, accessibility, accommodation and pets at Bawley Vale Estate.

Bookings & dates

How far in advance should we book? Most Saturday weddings are booked 12 to 18 months ahead. We hold dates with a deposit; deposit terms are confirmed in your quote.

Can we put a date on hold while we decide? Yes — a short courtesy hold (typically 7 days) can be applied while you visit. Beyond that we ask for a deposit to lock it in.

Do you do midweek or off-season weddings? Yes. Friday and Sunday dates are available and so are off-season dates (June–August). These often suit smaller weddings and elopements.

Pricing & payments

What is included in the venue hire? Venue hire covers the ceremony location, reception space, the cellar room (where applicable), guest parking, and use of estate-owned furniture and decor. Drink packages, catering, accommodation, and any add-ons are quoted separately.

What are the payment milestones? A 25% deposit secures the date. Milestone payments are due at agreed intervals before the event, with the final balance due in the week before. Exact schedule is set out in your booking contract.

Are deposits refundable? Deposits are non-refundable but transferable to another available date in the same calendar year, where possible. Full terms are in the contract.

Catering & drinks

Do you have on-site catering? We work with a panel of preferred caterers and can recommend one to match your style and budget. External caterers can also be approved on a case-by-case basis.

Can we bring our own alcohol? Bar service runs on a venue drink package. BYO is not the default — speak with the coordinator if you have a specific request (e.g. heirloom wine for the bridal table).

What about dietary requirements? All standard dietary requirements (vegetarian, vegan, gluten-free, halal, kosher, allergies) are catered for. Share these with the coordinator at least four weeks before the event.

Music & logistics

Is there a noise curfew? Amplified music inside the venue is permitted until 11:30 PM. Outdoor amplified music wraps earlier. Acoustic and ambient music can continue.

Can we use our own band or DJ? Yes. They'll need to meet the standard PA and electrical requirements; the coordinator will share specs.

What time can the bridal party arrive? Same-day setup typically starts from 11 AM on a Saturday wedding. Earlier access can be arranged for an additional fee.

Weather

What happens if it rains? Every outdoor ceremony has a built-in wet-weather alternative inside the venue. The decision is made by the coordinator on the morning of the event in consultation with the couple.

Accessibility

Is the venue wheelchair accessible? The reception space, cellar room, and primary ceremony lawn are step-free. Accessible toilets are available. Some heritage areas of the estate have steps; let the coordinator know any specific access needs.

Do you have hearing loops? A portable assistive-listening kit is available for the ceremony. Request in advance.

Accommodation & pets

Is on-site accommodation available? Yes — limited on-site accommodation can be included for the wedding party. Reach out for current availability and rates.

Are pets welcome? Well-behaved dogs are welcome at outdoor ceremonies, but must be supervised at all times. Inside the venue, only assistance animals.
